Begin with the job people already do
Useful training starts with a real workflow, not a tour of every AI tool. Choose a task staff recognise: preparing a draft, finding an internal answer or reviewing an incoming request. Explain which part the system supports, which decisions remain with the person and where the final result goes.
Give each role a different path
An everyday user needs to operate the workflow and recognise a bad answer. A reviewer needs to approve, correct or reject work. The operational owner needs to handle incidents, maintain source information and decide when the system should be paused. Define these responsibilities before everyone joins the same session.
Practise the awkward examples
Use approved practice material and include missing information, ambiguous requests and conflicting source documents. Demonstrate how to check an answer against its source, correct a draft and escalate uncertainty. A convincing output should still be checked against the task requirements. Training should make asking for help a normal part of using the system.
Make boundaries easy to find
Provide a short reference sheet covering approved tools, permitted information, review steps and support contacts. Use the organisation’s actual policies and deployment arrangements. Do not tell staff that every AI product handles information in the same way. Show where to check the applicable guidance when a task changes.
Check that people can complete the task
After a demonstration, let each person work through an example independently. Ask them to explain what they checked and why they approved or rejected the result. Record where instructions are unclear. Attendance alone does not show that a team can use a new workflow confidently.
Keep support available after launch
Provide role-specific runbooks, a named contact and a way to report errors. Review recurring questions with the operational owner and update the examples when the workflow changes. Azen’s consulting service can combine an audit, implementation and staff training so the handover reflects the system people will actually use.
