Start with one handoff
A CRM workflow is easier to improve when the starting point is specific. Consider an incoming enquiry that needs to become an accurate customer record and a follow-up task. Map how that happens today, including duplicate records, missing details and which person owns the next action. This guide describes an illustrative workflow, not a claim about a particular client deployment.
Use AI where interpretation is useful
AI can help turn free-text enquiries into a structured draft: the request, relevant details and a proposed category. Ordinary rules can validate required fields, check a known identifier and route the task. Keep these responsibilities separate so you can see whether a failure came from interpretation, validation or the connection to the CRM.
Review before changing important records
Show the proposed update alongside its source. Where the match is ambiguous, route it to a person rather than silently combining customers. Agree which fields can be written automatically and which require approval. The same applies to an outgoing response: drafting a message and sending it are separate permissions.
Design for retries and missing information
A connection can fail after a request arrives. The workflow should be able to retry without creating a second record or sending the same message twice. Define what happens when required information is missing, the CRM is unavailable or a user rejects the suggestion. Give an owner visibility of items that need attention.
Test against your actual CRM setup
Confirm the edition, available API, custom fields, permissions and usage limits before committing to a design. Existing automations may already update the same record. Test the complete path using representative examples in an appropriate test environment, including a duplicate, an incomplete request and a failed update.
Measure completed work
Track correct records, review effort, duplicates and unresolved exceptions alongside handling time. A high number of generated drafts is not enough if staff must repair them. Start with one bounded workflow and expand only when the team can operate and support it. For an example of bringing operational information into one interface, see the Prep Point project.
